Service · Custom software

Software built around how your business works

When ready-made tools force you to change your process or pay for features you never use, we design and build your own: internal tools, client portals, booking apps and back-office systems, from idea to support.

FIG. 06 — Ready-made vs built for you
Ready-made tools
  • You adapt your process to the software
  • Five tools and five logins
  • Per-user fees that grow with the team
  • Features you pay for and never use
  • Your data locked in someone else's system
Built for you
  • The software follows your process
  • One system for the whole workflow
  • You own the code and the data
  • Only what you need, nothing extra
  • Integrated with the tools you keep

Signs you have outgrown ready-made tools

Custom software is not always the answer. These are the signs that it is.

  1. Owner

    Workarounds everywhere

Spreadsheets, macros and manual steps fill the gaps between your tools.

  2. Finance

    Licences keep growing

You pay per user for several systems, and the bill grows faster than the team.

  3. Clients

    Clients wait for answers

Status, documents and bookings require a call or a message to a manager.

  4. Operations

    Your process is your advantage

The way you work is unique, and generic tools force you to work like everyone else.

  5. IT

    Data is scattered

Every tool keeps its own copy of clients and orders, and none of them is complete.

  6. Growth

    Scaling means hiring

Each new branch or client adds manual work instead of being handled by the system.

How it looks in practice

Typical projects

Self-booking app for a service chain

Situation Clients book by phone and administrators juggle calendars across branches.

  1. Online booking by branch, service and specialist
  2. Automatic reminders and rescheduling
  3. Online payments and deposits
  4. An owner dashboard by branch

Effect Administrators handle exceptions, not every booking.

Client portal for B2B orders

Situation Dealers send orders by email and ask for status every day.

  1. A catalogue with personal prices
  2. Orders go straight to the ERP
  3. Real-time status and documents
  4. Reorder in two clicks

Effect Managers focus on selling, not on order entry.

Field service app

Situation Technicians get jobs by phone and report on paper.

  1. Jobs assigned by area and skill
  2. Mobile checklist, photos and signature
  3. Used parts deducted from stock
  4. Invoice created when the job is done

Effect Jobs closed the same day, with full history.

Replacing an Excel "system"

Situation A critical process lives in a shared spreadsheet.

  1. Process and data model designed
  2. A web app with roles and an audit trail
  3. Data migrated and validated
  4. Reports connected to analytics

Effect One source of truth without broken formulas.

Two ways to work

Fixed scope or product partnership

We choose the model by how clear the requirements are and how long the product will keep evolving.

Clear budget

Fixed-scope project

We specify requirements, design the screens and agree on a fixed price and timeline before development starts.

  • Fixed price and deadline
  • Specification and prototype upfront
  • Acceptance by milestones
  • Best for well-defined tools
Evolving product

Product partnership

A dedicated team works in short iterations and releases new features every few weeks based on real usage.

  • First version fast, then iterations
  • Priorities change as you learn
  • Monthly budget with transparent reports
  • Best for client-facing products and platforms

FAQ

Questions about custom software

Custom or ready-made: how do we decide?

If a ready tool covers most of your needs without workarounds, use it and we will integrate it. Build custom when the process is your advantage, licences are expensive or the tools don't fit together.

How much does it cost?

It depends on the scope. After discovery you get a fixed price for a defined version, or a monthly budget for a product team. We often start with a small first version to prove its value.

Who owns the code?

You do. The code, repositories, cloud accounts and data belong to your company.

How long until the first version?

It depends on the scope. We agree on a first version that can be used quickly and fix its timeline after discovery.

What happens after launch?

We support and develop the product under a support agreement, or hand it over to your team with full documentation.

Discuss your idea

  • We clarify the problem and who will use the software
  • You get options: a ready tool, an integration or a custom build
  • You learn the likely scope, timeline and budget
